Job Title:         Executive Assistant to VP’s of Human Resources and Enrollment
Classification: Exempt
Reports to:     VP of Human Resources/Operations and VP of Enrollment/Marketing
Salary: $48,000 - $54,000

Position Purpose:
The Executive Assistant to the Vice Presidents of Human Resources/Operations and Enrollment provides high-level administrative support to executives, ensuring that their day-to-day operations run smoothly and efficiently. This role is critical in helping the Vice Presidents focus on strategic initiatives by managing routine tasks and complex schedules. Each area has day-to-day duties that assist with the functionality of those areas in addition to general executive admin support.

HR/Operations: The EA provides essential support to the HR department, ensuring that HR operations are conducted efficiently and effectively. Primary duties include administrative tasks, assisting with recruitment and onboarding, and supporting employee relations.

Enrollment/Marketing: The EA provides support in the execution of University communications, administrative website support, when needed and project coordination for Marketing projects executed through a third party.

Responsibilities include but are not limited to:
Executive Assistant Duties:
  • Provide administrative support to the Vice Presidents and the offices within these Vice Presidents’ areas of responsibility to ensure accurate and timely completion of work.
  • Coordinate office finances and reconcile invoices to the correct line item.
  • Provide administrative support to the Vice President of Enrollment & Vice President of Human Resources/Operation’s direct reports as needed.
  • Assist President’s Office with Board of Regents, campus meetings, and other miscellaneous presentations.
  • Coordinate travel for Vice Presidents including airline, car rental and hotel reservations.  
  • Coordinate logistics for staff retreats when needed.

HR/Operations Duties:
  • Coordination of all aspects of hiring and payroll for all seasonal coaches, adjunct and student employment, communicating with supervisors and employees as required.
  • Providing payroll support including entering data from submitted tickets to the payroll system and reviewing payroll registers with Payroll Processor.
  • Assist employees and supervisors with Time and Attendance questions and issues.
  • Manage job postings and supervisor hiring processes in applicant tracking system.
  • Monthly processing of HR related benefits invoices.

Enrollment/Marketing:
  • Monitor and manage all incoming website update requests, ensuring timely and accurate fulfillment.
  • Serve as primary point person internally for marketing needs with our third-party provider. (project coordinator)
  • Prepare University communications, once VP approval is obtained, and send to the appropriate University group. (employees, students)
  • Provide back-up administrative support for Admissions department.
  • Prepare and send weekly communications to employees and students.
  • Manage Marketing and Office of Communication inboxes and respond to inquiries.
  • Process and manage invoices.
  • Coordinate district AG events for VP of Enrollment.
  • Schedule and manage photographers for institutional events, ensuring all logistics are coordinated in advance.

Other duties as assigned for both areas of responsibility.

Job Qualifications:
Minimum Education and Experience
  • Progressive administrative experience required.
  • Bachelor degree preferred.
  • Previous Human Resources or Higher Education experience a plus.

Knowledge, Skills, and Abilities
  • Exceptional attention to detail and high degree of accuracy.
  • Ability to learn principles and practices of Payroll and Human Resources functions.
  • Working knowledge of MS Office
  • Confident and accurate verbal and written communication skills
  • Excellent customer service skills
  • Knowledge of the ADP Workforce Now platform a plus.
  • Determination in problem solving.
